Terms and Conditions

The Terms and Conditions detailed below apply to all participants in the Tour of Crete event series organized by CRETAN MOUNTAIN BIKE TRAILS and operated by CRETAN SPORTS CYCLING. Submission of an entry form or purchase of an entry by a participant means that particular person has read and accepted the following Terms and Conditions:

 

  1. A participant is one whose name appears on the list of participants.
  2. A participant is one whose registration form is filled in properly and fully. That form must have been hand-signed, its payment submitted in full and acknowledged by the event’s administration staff.
  3. Each participant is fully responsible for his actions whilst attending the event. This includes each event venue and during the ride itself. The organisers do not accept responsibility for the actions of a participant nor the consequences for such actions.
  4. Each participant, upon signing the registration form, agrees that they are physically and mentally capable of riding the distance for the Tour of Crete. If, during the event, they decide to change their route and distance, then all consequences of this action are theirs.
  5. The Event Registration Form can only be filled in for a person of age 18 years old or above. Evidence of age may be requested upon receiving the event kit bag and need to be available at hand.
  6. Each participant accepts full responsibility for any fees or costs incurred or arising from the need for repatriation.
  7. It is mandatory that all cyclists wear a safety approved cycling helmet complying with latest ANSI Z90/4 or SNELL standards. Any rider not wearing a helmet will be disqualified from the event and could be liable for damages if involved in an accident or is hurt on that basis. The rider must accept this as a condition of entry.
  8. It is mandatory that all cyclists carry two full closed bottles of fluids and that they wear shoes. It is strongly recommended to wear protective eye wear and sports-grade sunscreen crème rated UPF 50+.
  9. The organizers reserve the right to inspect the mechanical condition of bicycles and gear before the start or during the event. In case of arising safety concerns, the organizers reserve the right to not allow the rider to proceed using the bicycle or gear in question unless proper reparative or safety-restoring action has been taken. For this reason, cyclists must carry a basic tool kit on them when riding.
  10. The event is NON -COMPETITIVE and defined as being an “amateur cycling trip”.
  11. The organizers’ area of responsibility on the course during the event is defined between the lead car/lead instructor rider of the group and the trailing/rearguard car/rear instructor rider of the group. Cyclists are not allowed to cycle outside of these limitations. By doing so they absolve themselves of their “participant” status.
  12. Cyclists who overtake the lead car/lead instructor rider or stay behind the trailing/rearguard car/rear instructor rider in the back, are revoked of their “participant” status and are no longer part of the event or of the responsibility of the organizers. Revocation may be permanent and is on the judgement of the organizers. This may translate to their timekeeping being penalised or cancelled and their eligibility for prizes or raffles revoked among other penalties.
  13. The organizers reserve the right, without providing further explanations or argumentation court, to disqualify and remove any cyclist from participating in the event. Any participant may be disqualified during any part of the event.
  14. The organizers reserve the right to shorten or alter the track for any cyclist by aiding or transporting the cyclist forward to another group of participants. Any cyclist who lags behind the main group (as judged by the organisers) by more than half an hour may be aided or transported by vehicle or otherwise to the main group.
  15. It is compulsory to cycle on the predefined route and in the framework of the cycling group; no shortcuts or detours are allowed unless specifically and/or individually announced or requested. Failure to comply revokes “participant” status.
  16. A cyclist who, for any reason, has stopped participating, must notify the organizers and/or the rear guard of his leaving and/or condition.
  17. Each participants must be informed of and obey all local Highway Code rules. Additionally:
    1. All cyclists are requested to ride in a single file on the rightmost side of the road where appropriate and no more than 2 abreast at any time.
    2. Please be aware of your fellow cyclists and any other traffic.
    3. Please always indicate your intention to stop or change direction.
    4. Stopping of a bicycle or vehicle is permitted only at the extreme right and entirely off of the road.
    5. All cyclists must adhere to and obey the local Highway Code, local traffic laws of Greece wherever and however applicable and extend all reasonable courtesy to other road users.
  18. No litter is to be thrown onto the road or roadside under any circumstance, ever.
  19. The Tour of Crete organizers reserve the right to shorten or alter the published route at any time. Participants do not have the right to claim a refund if the route is altered. No refund, financial or of any other type will be provided in the event of cancellation of any part or of the entire event, due to emerging security or safety concerns.
  20. The Tour of Crete organizers reserve the right at any time to substitute alternative accommodation or to make any other alteration to the itinerary which became necessary due to circumstances beyond their control and undertake to inform participants as soon as possible. No refunds will be given for unused hotel rooms, meals, sightseeing trips or services not used.
  21. All participants upon submitting their registration form have accepted whole responsibility for any damage to their equipment and/or health throughout the event and afterwards. Additionally they verify they have been examined by an appropriate doctor finding no contraindications to their participating in a physically demanding cycling event such as The Tour of Crete. Furthermore participants declare that they are adequately trained, fit and skilled, having practised this level of cycling stress in the past and are aware of the level of difficulty of the event.
    In order to be covered in the face of unfortunate events, the organisers strongly advise the participants to have acquired and submit a copy along with their registration of a personal Travel/Equipment/Health Insurance and of a Medical Certificate. Possession and submission of the latter is in the judgement and responsibility of each participant and are not required by the organizers.
  22. Tour of Crete organizers are not liable for personal injury, death, damage to property or other loss whether arising from accident, cancellations, delays or any other matter beyond their control. Participants should insure against all such possibilities.
  23. The organizers disclaim all responsibility in case of theft, damage, or loss of personal belongings of participants during the event. It is therefore the role and responsibility of each participant, to take out insurance covering these risks.
  24. The participants will not make any complaints to the organizers about failure or malfunction of their own personal equipment.
  25. The participants authorize expressly the organizers and their permitted assigned agents and sponsors to use or reproduce publicly any names, images, voice recordings, interviews or athletic performances within the framework of or after the Tour of Crete that include them, under no compensation.
  26. DEPOSIT: The deposit must be submitted within 10 calendar days, starting from the day of submission of the registration form. Beyond that, the registration can be ignored and/or deleted.
    1. Solo or Shared room packages: 550 €
    2. Registration-only package: The full price is the deposit. Specifically 150 € until April 30th 2017. Beyond that date the deposit is 180 €.
    3. A reservation is not considered to be finalized until a deposit has been received in full.
  27. FINAL PAYMENT: Final payment can be provided at any time until May 6th. However total registration cost is calculated the day the final payment is sent in full and calculation follows the dates and costs as described in the registration pricelist table.
  28. CANCELLATION POLICY: If for some reason you have to cancel your participation, payment will be deducted as described below:
    1. Until 31 January 2017: 0% loss of deposit or payment (when applicable). Full refund.
    2. Until 28 February 2017: 50% loss of deposit. Rest of payment fully refunded (when applicable).
    3. Until 30 March 2017: 100% loss of deposit. Rest of payment fully refunded (when applicable).
    4. After May 1st 2017: 100% loss of deposit and payment. No refund can be provided at such late notice.
  29. AGENT POLICY: All agents/affiliates approved after having contacted the organisers at info@tourofcrete.com, shall operate as described below:
    1. They can register their clients individually, or in groups in as many sessions as desired (preferably in groups)
    2. They must collect all Registration Codes and respective Full Names of their clients and attach them when submitting payment.
    3. They must collect all Registration Codes and respective Full Names of their clients in a list, accompanied by their preferred method of receiving payment and submit them by email to the organisers before the beginning of the tour on May 15th 2017.
    4. They must have accumulated at least three registered clients-participants (may include themselves) of which there are no outstanding issues.
    5. They must have paid registrations of their clients in FULL. Articles [26],[27],[28] still apply.
    6. Following the termination of the Tour of Crete on May 20th 2017  and within the following 30 calendar days, the organisers will calculate the Total accounting to each valid agent/affiliate and refund the agreed-upon percent of that Total amount (in Euros €) as commission to that agent.
  30. All calendar events and dates are calculated in Greek timezone.
  31. All currency conversions are calculated at the time of transaction.
  32. AIR/SEA-FARE DISCOUNTS will be provided according to the following procedure:
    1. Transit sponsor MINOAN LINES provides -30% discount to ferry-boat tickets for all registered Tour of Crete participants, their vehicles and any non-registered companions using using MINOAN LINES ferries form Piraeus port to Heraklion port and back.
      1. Any registered participants willing to take advantage of the offer must contact the organisers and request a discount code prior to booking any tickets.
      2. Participants can then use that discount code upon booking their ferry-boat tickets to benefit from a discounted price.
    2. Transit sponsor AEGEAN AIRLINES offers FREE bicycles’ transportation for  every registered Tour of Crete participant – passenger , either for domestic or international Aegean Airlines flights.
      1. Any registered participants willing to take advantage of the offer can book their tickets using AEGEAN AIRLINES airplanes through any service they prefer .
      2. Participants must send the organisers an authentic copy of their ticket, via forwarded e-mail or clear photograph containing all the details they provided to the booking service and all the details as they were found on the online booking form.
      3. The organisers upon receiving the data, inform AEGEAN AIRLINES with all required details.
      4. AEGEAN AIRLINES check into passenger-participant’s ticket that sports’ equipment transportation is free of charge.
  33. Any legal dispute will be filed in Heraklion, Crete, Greece and will be resolved by the Greek justice system under Greek law.
  34. A signature on the registration form is binding both financially and legally of the participant named within with the Terms and Conditions of the event as they have been described in this document.
